Gala dinner: what makes an evening a gala, and how one runs

A gala dinner is a formal seated dinner built around a programme on a stage: speeches, a performance, a show or a presentation. The room is built for that programme, and the invitation sets a formal dress code, such as black tie.

The word gets used loosely, but for whoever is organising one the narrow meaning is the useful one, because it decides where the effort goes: the stage, the room and the order of the night. If your evening is really for your own staff, read how we run a company dinner and dance instead.

What a gala dinner is

Three things mark one out.

  • The programme carries the night. Guests come for what happens on the stage, and the meal is timed around it rather than the other way round.
  • The room is built, not just dressed. A stage, lighting, a screen, and sometimes a runway or a performance space on the floor itself.
  • The dress code is formal, such as black tie, and the invitation says so. How to word that line is its own question: what to put on the invitation.

The guest list is often the other tell. A dinner and dance is for a company's own people. A gala tends to face outward: a brand hosting its clients and partners, a company marking a milestone in front of the people it works with, a charity in front of its donors.

Gala, dinner and dance, annual dinner

The three get confused because they share a ballroom, round tables and an emcee. What separates them is what the evening is for.

Plenty of evenings are two of these at once. An annual dinner with a band after the awards is half a dinner and dance. When that happens, decide which part leads before anything is booked, because the stage, the floor plan and the run of show all follow from it.

Is it a gala?

Five questions about the evening you are planning. The answer is the format it is closest to, and why.

How the evening runs

The broad order is the one most formal dinners share: arrival, seating, an opening, the meal, the main part of the programme, and a close. Arrival has a reception and a photo wall while the room fills. The emcee opens, the host welcomes the room, and there is often a toast.

What changes at a gala is that the programme and the kitchen share one clock. Segments sit between courses, so the run of show carries the kitchen's service times as well as the stage cues, and a show that starts late pushes a course, not just a song. The main segment holds best when service is quiet, so it goes between courses rather than over one. A run of show with one owner against every line is what keeps the two in step.

A lucky draw is a segment like any other, with its own line and owner. There is a separate guide to lucky draw prizes and running the draw.

The room is built, not decorated

A banquet room arrives as a carpet, a ceiling and round tables, usually of ten. A gala has to turn that into a room facing a stage, and the build is where most of that happens: the stage and its backdrop, lighting over it, a screen the back tables can read, and whatever space on the floor the programme needs.

At one gala dinner our team worked on, that space was a runway. It ran out from the stage between the round tables, edged with flowers, and ended in a flight of red steps, so the models walked past guests rather than in front of them. A large screen above the stage showed the room and the walk, and strands of light hung over the whole floor. Photographs of that night are on how we run a company dinner and dance.

At a gala the guests are the audience, so the room has to be built like a theatre that serves dinner.

A runway like that is a seating decision before it is a design one. The table plan is drawn around it: every table needs a view of the stage and of the walk, the edge of the runway needs a clear path, and nobody can be seated where the photographers have to stand. The photo wall belongs with the arrival, outside the room or at its edge, not on floor the programme needs. Seats are assigned, with the hosts and their most important guests on the tables nearest the stage. A table behind a pillar loses the view, and no seating plan recovers it. That is one reason to walk the room before you book it.

So decide what the stage has to carry first. The room, the seating and the order of the night all follow from that one answer, and so does much of the quote.

Common questions

What is a gala dinner?

A formal seated dinner built around a programme on a stage: speeches, a performance, a show or a presentation. The room is built for that programme, with a stage, lighting and a screen, and the invitation sets a formal dress code, such as black tie. The guests are often from outside the host's own company: clients, partners or donors.

How is a gala dinner different from a dinner and dance?

A dinner and dance is carried by the floor: a theme, entertainment and dancing after the meal, for the company's own people. A gala dinner is carried by the stage: the programme is the reason for the evening, the dress code is formal, such as black tie, rather than themed, and there may be no dance floor at all. Some evenings are both, and then the run of show has to say which part leads.

What is the dress code for a gala dinner?

Formal, often black tie, and the invitation says so. That is one of the things that separates a gala from a dinner and dance, which often sets a theme instead, and from an annual dinner, where the dress code is whatever the company sets.
